New Patient Info

Up to a week in advance, our front office starts preparing for your visit. They review schedules, check insurance eligibility, ensure your charts are up-to-date, and check for any outstanding reports such as lab results or specialist visits. This helps us know how long to schedule your appointment and allows your Provider to review your complete history beforehand. They'll remind you of your appointment time and location through calls or texts.

When you arrive, our front office will collect any updated information, forms, and co-pays. They verify your contact info and ask to see your insurance card to ensure we have the most current information. Co-pays are due at the time of the visit as well as any outstanding balances.

While you wait, our Medical Assistants (MAs) and Providers are busy seeing other patients and preparing exam rooms. Due to multiple Providers seeing patients simultaneously, you may not be called back in the order you arrived. We aim to be fast and efficient but unforeseen concerns or emergencies can arise.

Once in the exam room, an MA will take vital signs, ask medical history questions, and collect any questionnaires. This information helps your Provider guide the visit and any potential treatment. (Sometimes your Provider will ask similar questions, but that's because they're trying to pinpoint things just a little more clearly.) All of our MAs have medical training, so they're prepared to spot any warning signs or "red flags" that come up when taking vitals and reviewing your history. If they see a sign for concern -- if, say, a child who came in for cough and cold symptoms is wheezing and breathing rapidly -- they'll get an available Provider into the room right away. Situations like this are one reason you may sometimes have a longer-than-usual wait; we'll skip over appointment order if it's necessary to safeguard the health and safety of one of our patients. Once all of your information has been gathered, the MA will leave the exam room and let your Provider know you're ready to be seen. Your Provider will review your history, address your concerns, and perform an exam. Afterward, if necessary, your child may receive immunizations, testing, or treatments.

You'll check out with the front office staff, schedule your next appointment, pick up any forms, letters or handouts, and make any additional payments. Prescriptions are sent electronically to the pharmacy on file.

Your Provider completes notes and documentation. The bill is then submitted to your insurance company, and any balance due is processed.

Our front office, who have medical training, answer calls and provide care advice as directed. Some messages and requests will be sent to the providers on schedule. Messages and questions can also be sent through the patient portal. Please expect a response within 2-3 business days. Our staff can schedule sick appointments or refer you to the Emergency Room if needed.

Free Forms During Well Visits: We understand that families often need forms completed for various purposes. During your child's Well Visit, we will process up to 2 forms free of charge. Simply provide the forms to our Front Desk at check-in, and we will complete them during your appointment.

Additional Forms: For any extra forms beyond the 2 provided during Well Visits, or for forms provided at other times, there is a processing fee of $10 per form. These forms will be completed within 3-5 business days.

24-Hour Rush Service: If you require expedited processing, we offer a 24-hour rush service for a fee of $20 per form. Please note that this service is subject to availability and may not be available in all cases.

Time-Frame Reminder: It's important to ensure that your child's Well Visit has occurred within the required time frame for their age group. For school-aged children, the Well Visit must have occurred within the past 12 months. Younger children may have shorter intervals between Well Visits. Please consult with our team if you are unsure about the required time frame for your child's age. Forms will only be completed if a child is current on their well-child check/physical appointments.
